1. What we collect
We may hold player names, club membership, division, captaincy role, match results, performance statistics and profile photographs. For authorised portal users, we also process the signed-in email address, access role, club authorisation, upload time and an audit record identifying who submitted a photograph.
2. Why we use it
We use this information to administer the competition, verify eligibility and results, publish standings and player profiles, maintain historical records, prevent misuse, respond to enquiries and promote the championship. We do not sell personal data or use profile photographs for unrelated advertising.
3. Player photos and uploader duties
A captain, co-captain or organiser must obtain the player’s agreement before uploading an identifiable photograph. Where the player cannot provide valid consent, the uploader must obtain it from an appropriate parent or guardian. Uploaders confirm they have authority to provide the image, that it does not infringe another person’s rights, and that it is suitable for public display.
We may crop, resize, compress, replace or remove a photograph for presentation, safety, accuracy or legal reasons. Upload access is limited to authorised club representatives and does not transfer ownership of the photograph to the championship.
5. Security, accuracy and retention
We use sign-in controls, club-scoped permissions, file-type and size checks, audit metadata and managed hosting safeguards. No internet service is completely risk-free. Captains must keep their accounts secure and immediately report suspected misuse.
We retain current competition records while they remain useful for administration, legitimate historical records or legal requirements. Superseded profile photographs are replaced in active storage. We will remove or anonymise personal data when it is no longer reasonably required, subject to backups, dispute records and legal obligations.
6. Access, correction and withdrawal
A player may ask what personal data we hold, request correction, object to a photograph, or withdraw consent with reasonable notice. We will explain any practical consequences and act as soon as reasonably practicable, subject to lawful exceptions. Withdrawing a profile photograph does not necessarily require deletion of accurate match results or records that we are legally or reasonably entitled to retain.
7. Acceptable use and responsibility
Portal users must provide accurate information, upload only authorised content and use access solely for their own club. We may suspend access, remove content or preserve evidence where misuse is suspected.
We aim to keep published information accurate and the service available, but information may contain source errors, delays or interruptions. To the fullest extent permitted by law, the championship and its organisers are not liable for indirect, incidental or consequential loss arising from reliance on the website, third-party services or unauthorised acts beyond our reasonable control. Nothing in this policy excludes responsibility that cannot lawfully be excluded, or reduces our duties under the PDPA.
8. Contact and complaints
For access, correction, withdrawal, photo removal, suspected breach or privacy questions, contact the championship organiser by WhatsApp at +65 9189 6201. Please identify the player, club and request without sending unnecessary sensitive information. We may verify identity before acting.
9. Changes to this policy
We may update this policy when the competition, technology or legal requirements change. The effective date above identifies the current version. Material changes will be highlighted where reasonably practicable.
